Why companies use OfficeSmart for bulk gift vouchers

A voucher order is not a gifting project — it is a finance transaction with a deadline, and most of what goes wrong is administrative. The estimate does not match the transfer. The payment lands unreferenced and nobody can match it. The company is asked for its incorporation certificate on the afternoon of the festival. OfficeSmart runs vouchers as a four-step process with the paperwork taken once at onboarding, so a repeat order is an email and a transfer. We are a product of Erevu Ventures Private Limited, a Bengaluru supply-chain company operating since 2015, and vouchers sit alongside the physical gifting, pantry and merchandise we already run for the same customers — on the same GST-compliant billing, GSTIN 29AAECE1501F1Z4.

What's included

No cap on quantity or value

OfficeSmart places no limit on how many gift vouchers a company orders, in a month or in a year, and no limit on their total value. There is no minimum either. The only ceiling worth planning around is the tax one below, and that is a limit on how the recipient is taxed rather than on what you can buy.

The Rs. 15,000 tax position, stated plainly

Gift vouchers and tokens from an employer are exempt up to an aggregate of Rs. 15,000 per employee per financial year. Aggregate means everything that employee receives across the whole year, not a cap per occasion, and the exemption is for non-cash benefits — cash and gift cheques do not qualify. Value above Rs. 15,000 is a taxable perquisite, and the employer deducts TDS on the excess rather than the employee claiming it on their own return. This limit applies from 1 April 2026; for FY 2025-26 and earlier it was Rs. 5,000. General information, not tax advice — confirm the treatment with your finance team.

Issued within 24 hours

Vouchers are issued within 24 hours of the payment being confirmed. The one exception is an outage at the voucher brand end, which is rare — if it happens, issue can go past 48 hours, and OfficeSmart tells you that it has happened rather than going quiet on you. That is the honest version of the timeline; a 24-hour promise with no stated failure mode is not a promise.

Paperwork taken once

Three documents at onboarding: your certificate of incorporation, your company PAN card, and the email address of the person in your company who handles finance and accounts. Repeat orders need nothing further. Collecting this at onboarding rather than at order time is the difference between a voucher order that clears the same day and one that stalls in a compliance check on the eve of a festival.

Digital vouchers or physical cards

OfficeSmart supplies both, and the choice is usually decided by how the gift is handed over. Digital is the faster instrument and geography does not affect it — a recipient in Bengaluru, in a Tier-3 town, or working from home abroad receives on the same schedule, with no address collection and no undelivered parcels coming back. Physical cards are the better instrument when the gift is presented in person, at an awards evening or a festival gathering, where handing over an envelope is the point. Physical cards are couriered from our Hulimavu warehouse, so transit time applies on top of the issue window; the delivery date is confirmed on your estimate.

When an object beats a voucher entirely

Separate from the digital-or-card question: sometimes neither is right. A voucher of either form suits spot rewards, sales incentives, festival bonuses and distributed teams, where speed and choice matter more than the object itself. It is the weaker instrument where the gift is meant to be seen and kept — onboarding kits, client gifting, milestone and long-service awards. OfficeSmart runs vouchers and physical gifting both, so the recommendation is not steered by what we happen to sell.

OfficeSmart returns an estimate against your request. Nothing is committed at this point; the estimate is what the transfer in the next step is matched against.

Transfer, and share the NEFT reference

Transfer the amount per the estimate to our account, then send us the NEFT details of the transfer. The reference is the step customers most often leave out, and it is the one that lets us match your payment and release without a follow-up email.

Vouchers are issued per your directive

We issue the vouchers as you have directed — denominations, split and recipients as specified in your request. Within 24 hours of the payment being confirmed.

Frequently asked questions

There is no maximum. OfficeSmart places no limit on the number of gift vouchers, or their total value, that a company can order in a month or a year, and there is no minimum order. The limit worth planning around is a tax one on your side: gift vouchers from an employer are tax-free up to an aggregate of Rs. 15,000 per employee per financial year, and value above that is a taxable perquisite on which the employer deducts TDS.
