Search for corporate gifting companies in Bangalore and you get three kinds of result: resellers who list the same catalogue as everyone else, event agencies who do gifting as a side line, and a small number of suppliers who hold stock, brand in-house and deliver themselves. From the outside they look identical. The difference shows up in week three, when the sample does not match the box that arrives, or the invoice comes without a GST number, or 40 of your 300 Diwali hampers are stuck at a courier hub in Peenya. This checklist is written from the procurement side: what to ask before you sign, in the order that saves the most time.
Ask one question first: where does the stock sit? A supplier can name a warehouse, quote a stock quantity for the item you want, and send a sample from that stock within a day or two inside Bengaluru. A reseller will quote a lead time that includes ordering from a third party, and the sample often comes from a different batch than the bulk order. Neither model is wrong, but the reseller's timeline has one more link that can slip, and you should price that risk in. If the answer to "can I visit and see the stock" is a pause, you have your answer.
Corporate gifts are a business expense, and your finance team will want a tax invoice with the vendor's GSTIN, your company's GSTIN, the HSN code per line and the tax split. Two things to check up front. First, that the vendor issues a proper tax invoice rather than a cash memo or a quotation stamped "paid". Second, that they understand input tax credit on gifts is generally blocked under Section 17(5) of the CGST Act, so the tax is a cost to you and the quote should be compared on the all-in figure, not the base price. A vendor who explains this without being asked has done this before.
Minimums in Bangalore gifting are usually driven by branding, not by the product. A plain item may be available at any quantity; the same item with your logo has a setup cost for the print or engraving that makes small runs expensive per piece. Get the MOQ in writing per item and ask what the per-piece price does at half the MOQ. A good vendor will tell you where the price breaks are, and will sometimes suggest a different branding method, such as a printed sleeve instead of engraving, to make a smaller order work.
The most common failure in bulk gifting is a logo that is the wrong shade, the wrong size, or placed on the wrong side of the item. Before production, you should receive a digital proof showing the artwork on the actual product, with dimensions, and for orders above a few hundred pieces a physical pre-production sample. Confirm who approves the proof on your side, because that approval is the point after which changes cost money. Ask the vendor how they handle a print defect discovered on delivery; the answer tells you whether they own the process or subcontract it.
Any serious vendor will send a sample of the shortlisted items, sometimes free against a confirmed order and sometimes at cost. What matters is speed. If a sample takes ten days to reach your office in Koramangala, the bulk order will not be faster. Use the sample round to check three things: the unboxing experience, the weight and finish against the photograph, and whether the packaging will survive a courier. Photograph the sample and attach it to the purchase order so the delivered goods can be checked against it.
Diwali is the stress test for every corporate gifting company in Bangalore. Stock runs out, printers are booked solid, and couriers slow down in the last fortnight of October. Ask two questions: by what date do they need your final quantities to guarantee delivery before the holiday, and what is their fallback if a chosen item goes out of stock mid-order. Vendors who have been through several Diwali seasons will give you a cut-off date without hesitation, usually four to six weeks ahead, and will suggest holding a small buffer quantity for late joiners.
Six or more yes answers and you are dealing with a supplier who can carry a bulk order. Fewer than four and the low quote is probably the most expensive option on the table.
OfficeSmart has supplied Bangalore offices since 2015, holds stock in the city, brands in-house, delivers with its own vehicles inside Bengaluru and by tracked courier across India, and issues a GST tax invoice on every order. Samples go out from stock, proofs come before production, and one person owns your order from quote to delivery. If you are shortlisting corporate gifting companies for a Diwali, onboarding or year-end programme, send us the headcount and a budget per head and we will come back with three options and a delivery plan.
