Where quality is worth paying for

Not everywhere. Copier paper, files and basic folders are commodities where the cheap option is genuinely fine. The items worth spending on are the ones that fail visibly in front of other people or that damage something else — pens that skip in a client meeting, markers that dry out mid-presentation, staplers that jam, and low-grade paper that jams a printer and costs more in downtime than the saving.

Standardise to reduce the real cost

  • Fewer pen models means fewer refill types to stock and fewer part-used boxes.
  • One file and folder standard makes storage consistent and reordering trivial.
  • A single printer paper specification avoids the tray-by-tray inconsistency that causes jams.
  • A short approved list is faster to reorder from than a catalogue, which is where most of the admin time goes.

The consumption you are not seeing

Stationery consumption is far more variable between offices than headcount explains, and unusually high consumption is usually a storage problem rather than a usage one — an unsecured, unmonitored supply cupboard consumes noticeably more than a managed one.
