Bulk Gift Orders — A Realistic Timeline for Bangalore Companies

How long it actually takes to order 500+ corporate gifts, from brief to delivery, in Bangalore.

Almost every rushed gifting order in Bangalore was placed on time and then delayed by the same two things: artwork approval and an incomplete address list. Neither is a supplier problem.

Day 0: Brief

Quantity, budget range, occasion, recipient profile, delivery dates.

Day 1-3: Concept + first quote

Vendor proposes 2-3 hamper concepts with prices.

Day 3-5: Physical sample

Delivered to your Bangalore office. Iterate on fabric, finish, packaging.

Day 5-7: Sign-off + PO

Lock pricing, quantity, final artwork.

Day 7-17: Production

Bulk production runs 7-10 days for 500 hampers including logo branding and QC.

Day 17-20: Assembly + dispatch

Hampers packed, QC'd, loaded, delivered to Bangalore office or individual addresses.

Net: 20 days from brief to delivery. Compress to 12 with rush premiums, but quality suffers.

The clock starts at approval, not at the order

Production lead times are quoted from artwork sign-off, and the gap between placing an order and approving artwork is where most schedules are lost — a round of internal review, a logo file in the wrong format, a colour decision waiting on someone who is travelling. Building explicit dates for artwork submission and approval into the plan, with names against them, recovers more time than any amount of expediting later.

The address list is the other one

  • Collect addresses before production rather than during it, because chasing them is slower than making the gifts.
  • Include a phone number for every address. Couriers need it, and a delivery without one fails silently.
  • Confirm pincodes for anything outside metros, where remote-area surcharges and longer timelines apply.
  • Decide in advance what happens to failed deliveries, or they will sit at a courier hub until they are returned.

Work backwards from the date it must land

Set the date recipients must have it, subtract transit for the furthest destination, subtract production, subtract sampling and approval, and the resulting date is when the decision actually has to be made. For festival gifting this usually lands considerably earlier than people expect, which is precisely why the annual scramble is annual.
